This policy explains how Exoctica International Corporation ("we", "us") handles personal data when you visit our website, contact us, or use our platform as a client.
Who we are
Exoctica International Corporation provides business software for billing, payroll and HR, travel management and reporting, and builds custom trip management apps. For data collected through this website we are the controller. For data our clients store in the platform, we act as a processor on their instructions under a data processing agreement.
What we collect
- Contact details you send through our forms: name, work email, company, team size and your message.
- Newsletter sign-ups: your email address.
- Technical data: browser type, device and pages visited, collected by our hosting provider to keep the site secure and working.
- Client platform data: records our clients choose to store, such as customers, employees, trips and invoices.
How we use it
- To reply to your enquiry and arrange a demo.
- To send the monthly product update you subscribed to. Every email has an unsubscribe link.
- To provide, secure and support the platform for our clients.
- To meet legal, tax and accounting obligations.
We do not sell personal data, and we do not use client platform data for advertising.
Who we share it with
We use a small number of service providers to run our business: website hosting, form delivery (Web3Forms delivers our contact form submissions by email), email and cloud infrastructure. They process data only on our instructions. We may disclose data where the law requires it.
How long we keep it
Enquiries are kept for up to 24 months unless you become a client. Newsletter data is kept until you unsubscribe. Client platform data is kept for the duration of the contract and deleted or returned at the end of it, as set out in the agreement.
Your rights
Depending on where you live, you can ask to access, correct, delete or export your personal data, or object to how we use it. Email us and we will respond within 30 days. If your data is held in a client's account, we will pass your request to that client.
Security
Data is encrypted in transit and at rest, access is role-based and logged, and backups are taken daily. Read more in the security section of our home page.
